Data Migration to New Therapy Software
How to migrate client demographics, clinical notes, and billing from your prior software, spreadsheets, or legacy tools into new practice management software.

Switching practice management software is intimidating because your client history lives in the old system. A structured migration — demographics first, notes second, billing archive third — reduces downtime and legal risk. Here is a practical path for therapy practices.
Before you export anything
- Execute BAA/DPA with the new vendor before importing PHI
- Document your cutover date — which system is source of truth after when
- Notify staff of read-only period on the old system if needed
- Verify export rights in your old vendor contract
Step 1 — Client demographics (CSV)
PsycSuit supports import via Settings → Practice → Migration (when enabled) or Patients → Import. Export a client list from your prior tool or spreadsheet with names, DOB, contact info, and identifiers you use internally.
Column mapping
Map exported columns to the import template. Trim duplicates before upload — merging two charts for the same client is harder than preventing duplicates upfront.
Step 2 — Clinical notes
Historical notes often migrate as PDF or document archive per client rather than re-parseable structured data — that is normal. Options:
- Attach legacy note PDFs to the client chart as documents (import wizards when enabled)
- Keep read-only access to old system for 12–24 months per retention policy
- Write new notes only in PsycSuit from cutover forward
Step 3 — Billing history
Open balances and aging reports may need manual reconciliation. Export final statements from the old system; start fresh invoicing in the new system on cutover date. Insurance in-flight claims should complete in the old system or be manually transferred per payer rules.
Step 4 — Portal and clients
Email clients a short notice: new portal link, how to book, that historical messages in the old portal may not carry over. Onboard new intake through the new portal immediately.
Leaving any vendor — export your data
